Forwarding an Email

Most of the times we receive emails that say, ‘fyi…’ Sure, this is understood by everybody and probably the easiest thing to do when you need to share or pass information to others.

However, one good practice is to add a one-liner that explains why you are forwarding the email. This helps in setting the context for the reader, so he knows exactly what is expected of him. This way you cut off email ping-pong and get the results you want.

I like this practice because it leaves no ambiguity in the reader’s mind. Sometimes when I receive forwards, I ask, ‘I don’t know why she is sending this to me? What am I supposed to do about this?’

Instead, a line that explains the reason puts everything across with clarity. Some one-liners that I use with my team are:

1.    A good read on…

2.    Read this to know about…

3.    Check out the stats on…

4.    Can we use this for our application?

5.    What do you think about…?

6.    I liked this article on…and want to share it with you.

So, the next time you type ‘fyi’, stop and think, ‘what’s in it for the reader?’
